Conditions

GENERAL

Article 1 - Location and Dates

HAFNIA 01 is a Specialized World Philatelic Exhibition, organized by The Danish Philatelic Federation in co-operation with Post Denmark Stamps, Post Greenland, Postverk Føroya, and The Danish Stamp Dealers' Association.

The exhibition will take place in the Bella Center, Copenhagen, during the period 16 - 21 October 2001.

Article 2 - Location of Stands

The exhibition management offers stands to be rented for commercial purpose in the exhibition halls C.

Article 3 - Types of Stands

The different types of stands are indicated in the enclosed Sales Stands Setup.

RENTING CONDITIONS

Article 4 - Business at the Stands

Stands can be rented by individuals and legal entities within the following trades:

  • Sale of stamps, postmarks and other philately-related collector's items,
  • Sale of philatelic material,
  • Sale of philately books and journals,
  • Activities related to philately associations.

Non-philatelic products or material are not allowed to be exhibited or offered for sale.

Article 5 - Application

Applications for participation, accompanied by a 10% deposit, must be submitted, prior to 1 October 2000, to the following address:

The Organizing Committee decides whether an application is to be accepted or not. The confirmation of acceptance or non-acceptance will be given by 15 November 2000 at the latest.

In case of non-acceptance, the deposit will be refunded. No refund will take place, if the application is withdrawn after the confirmation of acceptance was mailed.

Article 6 - Payment

The total rental fee, minus the deposit, is due not later than three months prior to the opening of the exhibition.

If the rental fee is not paid in time the exhibition management reserves the right to withdraw the confirmation of acceptance. In this case, the deposit will not be reimbursed.

Article 7 - Ancillary Privileges

Stand holders will receive:

  • A free exhibition catalogue,
  • Special entry tickets for the stand staff ,
  • Stand sizes 9 and 18 sqm.: up to four entry tickets,
  • Stand sizes above 18 sqm. as well as custom-built stands: up to six entry tickets.

The stand holders are required to provide a list of names of their stand personnel and two passport photos of each of them to the Organizing Committee, not later than 1 August 2001.

Article 8 - Equipment

The rented stands will be equipped with a standard setup (see enclosure). Additional equipment can be ordered at the stand holder's own expense.

Article 9 - Stand Allocation in the Exhibition Area

Stands will be assigned by an Allocation Committee, appointed by the Danish Stamp Dealers' Association. Applicants must unconditionally accept the stands assigned to them.

OCCUPANCY AND RUNNING OF THE STAND

Article 10 - Stand Occupancy

If the stands are not occupied on the opening day of the exhibition and the stand holder failed to appear during installation, stands may be reassigned to another stamp dealer or authority without refund obligation to the former stand holder who has no right to demand such refund.

Stands should be occupied from the moment of opening of the exhibition to the public and should remain occupied throughout the entire exhibition. With the exception of cases of force majeure, no stand can be closed and no stand holder will be permitted to leave before the end of the exhibition. Stand holders must take all measures to abide by these rules. The exhibition management is authorized to ensure that these rules are strictly adhered to.

Article 11 - PR-Items

The distribution of advertising material or other PR-items and the use of table top stands outside the area of the rented stand is not allowed without the permission from the exhibition management, and payment of en extra fee.

Article 12 - Protection of the HAFNIA 01 Logo

The sale of any item carrying the HAFNIA 01 logo is prohibited, except with prior approval by the Organizing Committee. Since it is the exclusive property of HAFNIA 01, this logo cannot be used or reproduced for any commercial purpose.

CLEANING

Article 13 - Daily Cleaning

An ordinary day to day cleaning is included in the rent.

INSURANCE

Article 14 - Insurance

Every standholder is urged to insure his material, as no insurance coverage is provided by the exhibition management.

The Organizing Committee will not take any responsibilityfor loss or damage to any possession or property of the stand holder, his staff or assistants. The stand holder is responsible for the care and security of his stand and its contents during the use of the exhibition halls.

During the exhibition period, users must comply with the instructions, directions and guidelines given by the representatives of the Bella Center, Copenhagen, and the Organizing Committee.

The Exhibition Management has the right to withdraw from the contract, without notice, subsequent to acceptance of the application, if the building or other areas cannot be put to full or partial disposal as a result of force majeure. The stand holder's attention is directed to the General Conditions pursuant to Danish Civil Law.

CUSTOMS

Article 15 - Customs

The exhibition management will assist in obtaining simplified customs clearance for foreign stand holders from outside the EU. Further details will be sent with the confirmation of acceptance.

DISPUTE AND LITIGATION

Article 16 - Amendment of Regulations

The above rules and regulations are subject to modifications, if considered necessary by the exhibition management.

Article 17 - Liability

Any dispute between the parties, including the interpretation of these regulations and of the Stand Holder Contract, are to be decided according to Danish law and with venue and jurisdiction being Copenhagen.

All claims against the Organizer according to the contract are limited to an amount not exceeding the stand fee.

Among others, the following circumstances are regarded as cases of force majeure: Labor disputes or any other occurences beyond the parties' control such as, but not limited to fire, other building destruction, war and warlike conditions.

Article 18 - Agreement

The stand holder confirms by his signature on the application form the acceptance of the rules and regulations of this contract.

In the event of disputes arising out of differences in the various language versions of the Rules and Regulations contained in this contract, the English language version shall be binding.

To be valid, oral agreements must be confirmed by the exhibition management in writing.
